NJCU to Kean M365 Data Migration

Overview 

Kean University will migrate active NJCU student, faculty, and staff email and OneDrive data into the Kean Microsoft 365 environment as part of the broader NJCU integration. This plan covers the technical migration sequence, mail routing during the transition, validation, and rollback contingencies.

Scope & Population 

  1. Population 
    • All active NJCU student, faculty, and staff accounts at the time of migration. 
    • Accounts flagged as separated, inactive, or graduated prior to the seeding start date are out of scope and will follow the standard NJCU offboarding process instead. 
  2. In Scope 
    • Outlook mailbox content (mail items, folders) for active accounts. 
    • OneDrive files and folders for active accounts. 
    • Personal calendars and contacts associated with each mailbox. 
    • Mail forwarding from NJCU to Kean. 
  3. Out of Scope for this Phase 
    • Shared mailboxes and resource mailbox (room/equipment) calendars. 
    • Distribution lists and mail-enabled security groups. 
    • SharePoint team sites not embedded in a user's OneDrive. 
    • Microsoft Teams chat history and Teams-hosted files. 
    • Public folders, if any exist in the NJCU environment. 

Migration Timeline

July 2
  • Seeding begins for the full active population.
  • Enable mail forwarding from NJCU to Kean. 
July 20
  • Data freeze date.
  • NJCU accounts should no longer be used for new work after this date — any mail or files created or modified in NJCU after July 20 will not be captured by the migration and must be retrieved manually if needed.
August 3
  • Cutover: Kean becomes the primary tenant for all migrated users.  
  • Users should use Kean as their primary mailbox and OneDrive from this date forward. 
  • New mail addressed to NJCU continues to arrive and is delivered to Kean mailboxes.

  • Formal forwarding cutoff. 
  • Exact date to be communicated separately, at least 2 weeks in advance. 

Note: August 3 marks the cutover of primary use, not the end of mail forwarding. Forwarding continues into the post-cutover period and is only switched off at the formal cutoff date above — this is intentional and separate from the data freeze on July 20. 

Interim Period (July 2 – August 3) 

Users will retain access to both the NJCU and Kean environments during this window while new mail begins routing to Kean. Historical NJCU mailbox and OneDrive content already migrated will be visible in both locations; users should treat Kean as the system of record going forward and avoid making further changes in NJCU after July 20 per the data freeze above. 

Communication Plan 

Cadence 

  • June — initial announcement of the migration to all active population. 
  • July — announcement that email forwarding has been enabled, including the July 20 data freeze date. 
  • August — announcement of cutover completion and guidance on using Kean as the primary environment. 
  • TBD — announcement of the formal forwarding cutoff and NJCU environment decommission timeline, at least two weeks ahead. 

NJCU and Kean websites will be updated to reflect the rollout plan and scope alongside each communication wave. 

Users with Completed Migrations 

Important: If you have independently migrated your data or no longer wish to retain your NJCU data, you can opt out of this migration.
