Recreating OneDrive Links In Canvas

Introduction 

This article explains how to recreate a Microsoft OneDrive file link or embed in Canvas using the new Microsoft 365 LTI (Microsoft Education) tool, replacing a link that was previously created with the classic Microsoft OneDrive LTI. 

Use this guide if you are: 

    • An instructor whose OneDrive file link or embed in Canvas is no longer working 
    • Adding a new OneDrive file link or embed to a course for the first time 
    • Following up after an IT Security migration notice about the classic OneDrive LTI 

Before proceeding, ensure that: 

    • You can log into your Canvas account 
    • You have access to the course content you want to update 
    • Cookies and popups are allowed for Microsoft apps in your browser 

Why do I need to recreate this link? 

The classic Microsoft OneDrive LTI is being retired. Links and embeds created with the classic tool will stop working. Your files are not lost, they remain in your course's Microsoft 365 Group and SharePoint site, but the link pointing to them in Canvas needs to be rebuilt using the new Microsoft 365 LTI (Microsoft Education) tool. 

How to Recreate a OneDrive Link 

Step 1: Open the Content Item

    1. Go to the Assignment, Page, Module, Announcement, Discussion, Syllabus, or Quiz containing the old OneDrive link 
    2. Select Edit 

Step 2: Open the Microsoft Education App

    1. In the Rich Content Editor toolbar, locate the Apps icon (shown as three dots or a puzzle-piece icon) 
    2. Select Microsoft Education 
    3. Sign in with your Kean Microsoft 365 account if prompted 

Step 3: Insert the File

    1. Select OneDrive from the menu 
    2. Browse to the file, or search for it by name 
    3. Choose whether to embed the file inline or insert it as a link 
    4. Confirm your selection 

Step 4: Remove the Old Link and Save

    1. If the old, broken OneDrive link or embed is still present in the content, delete it 
    2. Select Save 

If you are adding a file for the first time rather than replacing an old link, start at Step 2, the process is the same. 

Collaborations: A Separate Process 

Files linked through Canvas Collaborations using the classic OneDrive tool are not carried over automatically and are not covered by the steps above. These need to be recreated from scratch using the Microsoft Education app inside your course's Collaborations tool. 

Common Issues & Troubleshooting 

Microsoft Education option doesn't appear in the toolbar 

    • Confirm you are in Edit mode for the content item 
    • Try refreshing the page or signing out and back into Canvas 

Prompted to sign in but sign-in fails 

    • Confirm cookies and popups are allowed for Microsoft apps in your browser 
    • Use your full Kean Microsoft 365 email address when prompted 

File doesn't appear when browsing OneDrive 

    • Confirm the file exists in your OneDrive or the course's Microsoft 365 Group and SharePoint site 
    • Try searching for the file by name instead of browsing folders
