Student Access to IT Services

Introduction 

Policy Statement: 

Students enrolled at the University have access to various IT services to support their academic endeavors and facilitate their university experience. However, to maintain eligibility for these services, students must maintain an active enrollment status. 

Purpose  

This article explains: 

    • Who is eligible for student IT services 
    • What qualifies as active enrollment 
    • When and why access will be removed 
    • What to do if access is removed in error 

Eligibility for IT Services 

Students are eligible for IT services only while they maintain an active enrollment status at Kean University. Active enrollment is defined as being enrolled in at least one course during a Fall or Spring semester. 

Eligible IT services include, but are not limited to: 

    • Email account 
    • Canvas  
    • Microsoft 365 and related software licenses 
    • Other university-provided IT resources

Loss of Access 

Students will lose access to IT services if they are not enrolled in any courses for two consecutive Fall and/or Spring semesters 

When enrollment is lost, access to the following services will be revoked: 

    • Email accounts 
    • Canvas and other learning platforms 
    • Microsoft 365 and software licenses 
    • Additional IT systems tied to student status 

Appeals Process 

If a student believes their access was removed in error or has extenuating circumstances, they may submit an appeal to the IT department. 

Appeals are: 

    • Reviewed on a case-by-case basis 
    • Considered for temporary access or alternative solutions when appropriate 

Escalation Information 

If access issues persist or enrollment status appears incorrect, students should contact Kean University IT Support for assistance. 

Effective Date: This policy became effective on 05/31/2023. 

Review and Revision: This policy will be subject to periodic review and may be revised as necessary to align with changes in University policies, regulations, or best practices in IT governance.
