Guide to KeanU AI

KeanU AI is an internal, secure, general-purpose AI portal for the Kean University community. When you log into KeanU AI, you can select the large language model you want to use to power your agent. Models by some of the best AI services are available, including OpenAI (ChatGPT). Agents powered by other models are available by special request.

Key Features of KeanU AI

✓ Privacy & Security
Regardless of the agent you pick, data entered into the portal is not shared outside the university and is never used to train the underlying models.

✓ File Upload & Analysis
Using the GPT 4o or GPT 5 agent, you can upload and query your own files, including images, PDFs, Word, Excel, and CSV files. More file types will be added in the future.

✓ Multiple File Support
You can upload multiple files at one time into a chat conversation.

✓ Conversation History
Conversation history, including any files you uploaded to the conversation, is saved so that you can refer back to it.

✓ Conversation Management
You can rename conversations to make them easier to find.

✓ Personal Prompt Library
You can create a personal prompt library to reuse helpful prompts.

  • A prompt in generative AI is a natural language request that a user enters into a generative AI tool to produce a response. Prompts can be questions, instructions, examples, or contextual information. The quality of the response depends on the quality of the prompt.

Getting Started

Logging In

  1. Browse to https://keanuai.kean.edu.
  2. Click on the "Login with Microsoft" button.
  3. Enter your Kean email address in the form of [email protected] and click "Next".
  4. Enter your Kean password and click "Sign in".
  5. Click the "Chat" button for the agent you would like to try. GPT 4o or GPT 5 is a great place to start.
  6. Click the "Guidelines" button, read the information about the bot, and click "I Agree".
    • Note: As guidelines may change over time, you will be prompted to review and agree to the guidelines each time you log in or select a new bot to chat with

Using KeanU AI

Chatting with KeanU AI

  1. In the "type a message" box, type in your question or request
    • You can also click the microphone icon to speak your inquiry
  2. Hit "Enter" on your keyboard or click the up arrow button to submit your question to the chatbot

Example Prompts:

  • "Summarize the key points of Kean's academic integrity policy".
  • "Help me create a study schedule for finals week".
  • "Draft an outline for a research paper on climate change".

Asking Questions of Uploaded Documents

Note: This feature is currently available only with the GPT 4o or GPT 5 agent

  1. Click the paperclip button, then the "browse" link
  2. Browse to and select the file or files you want to include in the chat
    • You can upload multiple files at the same time
  3. Click the "Open" button
  4. Click the "Chat with file" button
  5. Once the file uploads, you can start asking questions related to the content of the file(s)

Example Use Cases:

  • Upload a PDF textbook chapter and ask for a summary
  • Upload a syllabus and ask about assignment deadlines
  • Upload multiple research articles and ask for key themes
  • Upload an Excel spreadsheet and ask for data analysis

Saving and Accessing Prompts

You can create a personal library of useful prompts for repeated use.

To Add a Prompt:

  1. Click the prompt button (looks like two sheets of paper) near the "Type a message" box
  2. Click "Add Prompt"
  3. Type in a title for the prompt and the prompt text
  4. Click "Create Prompt"

To Use a Saved Prompt:

  1. Click the same prompt button
  2. Select the prompt you want to use from your library

Example Saved Prompts:

  • "Proofread this document for grammar and punctuation. Provide back the corrected text as well as a bulleted list of your corrections and changes."
  • "Summarize this article in three main points with supporting details."
  • "Create a study guide with key terms and definitions from this document."
  • "Generate five discussion questions based on this reading."

Starting a New Chat and Accessing Previous Chats

Starting a New Chat:

  • Whenever you switch topics with an agent, you will get better results if you start a new chat
  • Click the "New Chat" button (looks like a pencil) in the upper right to start a new conversation

Accessing Previous Chats:

  • Previous conversations are listed in the blue left-side menu
  • You can return to and resume any conversation by clicking its title
  • If you have uploaded documents to that chat, they will still be present
    • Note: If you do not see a blue menu on the left of the screen, click the three-line menu in the upper left corner to open the menu

Managing Chats:

  • Click the ellipsis button (...)next to a previous chat to:
    • Rename the conversation
    • Archive the conversation
    • Export the conversation
    • Delete the conversation

Example: If you have a chat with multiple documents uploaded into it, you can rename the chat to something easily recognizable (e.g., "BIO 101 Midterm Study Materials") and return to that chat repeatedly so that you do not need to re-upload those documents each time you want to query them.


Changing to a Different Agent

To change the agent you are using:

  1. Click "View all Agents" from the left side menu
  2. Click the "Chat" button for the agent you want to use

Why Try Different Agents?
Different language models have their own strengths, weaknesses, and styles. Try the same prompt across multiple agents to see which one gives you the best response for that particular question or task.

Mobile Access

Installing KeanU AI on Android Devices

  1. Go to keanuai.kean.edu in Chrome and log in
  2. Touch the vertical ellipsis menu in the upper right corner
  3. Select "Add to Home screen"
  4. Touch "Install" and then "Install" again
  5. A "KeanU AI" icon will be added to your Android device's home screen

Adding KeanU AI as a Home Screen Shortcut on Apple iOS Devices

  1. Go to keanuai.kean.edu in Safari and log in
  2. Touch the share button at the bottom center of the screen
  3. Select "Add to Home screen"
  4. If prompted, name the shortcut (e.g., "KeanU AI")
  5. Touch the "Add" button in the upper right corner
  6. An icon will be added to your Apple device's home screen

For Students:

  • Use KeanU AI to summarize readings and create study guides
  • Upload syllabi to track assignments and deadlines
  • Practice explaining concepts by asking KeanU AI to quiz you
  • Get help brainstorming essay topics and outlines
