Congratulations on Graduating from Kean University!
As you transition from student to alumni, your Kean University accounts will follow a scheduled deactivation process. This is a routine part of your graduation and applies to all alumni. This article outlines what to expect, key dates, and the steps you should take to prepare.
To ensure a consistent and transparent process, alumni account deactivation occurs twice per year based on graduation term. Each cycle includes a structured communication timeline to provide ample notice and support.
Accounts Impacted
- Microsoft 365 (Outlook, Teams, OneDrive, Word, Excel, SharePoint, etc.)
- Canvas LMS
- KeanWise and student portal access
- Library and database access
- Other campus systems connected to your student login
Steps to Complete Before Deactivation
Important: Large accounts may take several days to download. Start this process as soon as possible if you have significant data stored in OneDrive or Outlook.
If you have files in OneDrive or emails in Outlook you want to keep:
- Download your OneDrive files by using Exporting OneDrive Files to Your Computer Guide.
- Download your Outlook emails by using Exporting Kean Email to a Personal Email Account Guide.
- Update any personal accounts that use your Kean email address to a personal email address (LinkedIn, Handshake, banking, professional licenses, subscriptions, etc.).
Note: Kean does not offer email forwarding after deactivation. Please update your email address with any external services before your deactivation date.

- July 1 – First reminder
- August 1 – Second reminder
- September 30 – Final reminder
- October 1 – Account deactivation
January Graduates
Account Deactivation Date: July 1
Communication Schedule:
- February 1 – Initial announcement
- March 1 – First reminder
- April 1 – Second reminder
- May 1 – Third reminder
- June 30 – Final reminder
- July 1 – Account deactivation
After Deactivation
- You will no longer be able to access your Kean email account or associated services.
- Files and data stored in university systems will no longer be accessible through your account.
- Per university records retention policy, certain data may be retained by Kean for a defined period in accordance with New Jersey State Records Retention requirements. This does not include personal files stored in OneDrive or emails in Outlook, which should be downloaded prior to deactivation.
